We only process the data we need to handle your request, provide the accommodation and run our services.
Data from the booking request
When you send a booking request, we process:
- Your full name
- Your email address
- Your phone number
- The chosen accommodation, dates and number of guests
- The content of your note, if you add one
- The language in which you sent the request
Data from the stay
If the stay takes place, the accommodation provider also processes data required by law, in particular for the guest register and local taxes, and payment data.
Data from further communication
If you contact us by email or phone, we process the information you give us in connection with your request.
Technical data
When you visit the website, technical records needed to run and secure it may be created. They may include your IP address, the date and time of the request, the page visited, the browser type and other technical information.
3. What do we use the data for and what is the legal basis?
Handling the booking request
We use the data to check the dates, reply to your request and prepare a confirmation with the price.
The legal basis is taking steps at your request before entering into a contract under Article 6(1)(b) GDPR.
Providing the accommodation
If you confirm the booking, we process the necessary data to arrange the stay, communicate with you before and during it and settle payment.
The legal basis is performance of a contract under Article 6(1)(b) GDPR.
Legal obligations
We have to keep and process some data for accounting, tax or other legal obligations, for example the guest register.
The legal basis is Article 6(1)(c) GDPR.
Security and running the website
We use technical data to keep the website running, protect the form from misuse and prevent security incidents.
The legal basis is our legitimate interest in running the website safely and reliably under Article 6(1)(f) GDPR.
We don’t use your data for automated individual decision-making or profiling.
4. Do you have to provide the data?
Sending a booking request is voluntary.
To handle it, however, we need your name, email address and phone number. Without them we can’t confirm your dates.
The note is up to you. Please don’t include sensitive data that we don’t need for the stay.
5. How long do we keep personal data?
We keep personal data only for as long as needed for the purpose of processing.
Requests that did not lead to a stay
We keep data from requests that did not lead to a stay for a maximum of 12 months from the last communication. After that we delete it, unless there is another legal reason to keep it.
Data about the stay
If the stay takes place, we keep the data for the periods required by the applicable laws or needed to protect legal claims.
Accounting and tax documents
We keep them for the periods set by the applicable laws.
Technical records
Server records are kept according to the settings and rules of the hosting provider, to the extent needed to run and protect the website.
6. Who can access your data?
We don’t sell your personal data or share it with third parties for their own advertising purposes.
It can be accessed by authorised members of our team, the provider of the chosen accommodation and the service providers we use to run the website and communicate.
These are mainly:
- The provider of the chosen accommodation – SynticNet s. r. o. for TerraHut Martinky, Zuzana Ciranová for stays at Ranch Paradise. We pass the request on so that they can confirm your dates and provide the stay.
- Cloudflare, Inc. – website infrastructure and security.
- Google (Gmail and Google Apps Script) – delivery of messages from the form and email communication.
- Jamuna, s.r.o. – accounting services, where processing the data is necessary as part of our cooperation.
We share data with these providers only to the extent needed for the specific service.
Where required by law, personal data may also be provided to the relevant public authorities.
7. Transfers outside the European Economic Area
When some technology services are used, personal data may be transferred or processed outside the European Economic Area.
Such transfers take place only under the conditions set by the GDPR, for example on the basis of a European Commission adequacy decision or using standard contractual clauses and other necessary safeguards.
You can request information about the specific safeguards used for transfers of your data at podklucom@gmail.com.
8. Cookies and the map
Our website does not use advertising or tracking cookies.
During your visit the browser temporarily remembers your request in progress and the calendar availability (sessionStorage) so that the page works smoothly. This data isn’t sent anywhere and disappears when you close the browser.
We load fonts directly from our own website. The map on an accommodation page loads from OpenStreetMap only when you click the Show map button. At that point your browser sends your IP address to that service.
If we add analytics, advertising or other technologies in future for which the law requires consent, we will ask for it before using them and update this information.
9. What are your rights?
Under the GDPR, and subject to the relevant legal conditions, you have the right:
- Of access – to find out whether we process your personal data and ask for a copy.
- To rectification – to ask for incorrect data to be corrected or incomplete data to be completed.
- To erasure – to ask for your data to be deleted in the cases set by law.
- To restriction of processing – to ask, under certain conditions, for the use of your data to be restricted.
- To data portability – to ask for your data in a portable format, if the legal conditions are met.
- To object – to object to processing based on our legitimate interest.
- To withdraw consent – to withdraw consent at any time, if any processing is based on your consent.
You can exercise your rights by email at podklucom@gmail.com.
We will reply without undue delay, normally within one month at the latest. This period may be extended in the cases set out in the GDPR.
If you believe we are processing your personal data unlawfully, you have the right to contact the Office for Personal Data Protection of the Slovak Republic.
The office’s website: www.dataprotection.gov.sk
10. Changes to this information
We may update this information, in particular if the way we process personal data, the services we use or the relevant laws change.
The current version will always be available on our website.
